Ordering and Receiving - Student Procedures: Calling up orders using WorldCat

Orders to be called up are in envelopes or booklets in the tray located in the Monograph Acq. pre-order processing area. Always take the packet with the oldest date.

1. On the Library's home page click on "Electronic Resources".

2. At "Find any title...", type in "worldcat".

3. Next to WorldCat, click on "CONNECT".

When on the OCLC FirstSearch (Advanced) screen:

- Chose "Title Phrase" in "Search for" fields

- Limit type to "Books" and "Serial Publications".

a. You can type in the exact title.

b. You can type in the first part of the title and add an asterisk (*) at the end of a partial title. This truncation will bring up more similar titles.

 

If there is more than one record on-line, choose the one that most closely matches the bibliographic information in the order. If more than one record matches the order equally as well, we should choose

1. Record with "Michigan State Univ" in "Libraries Worldwide" field (if available).

2. Record with an LC "Class Descriptors".

3. Record without "Class Descriptors" is the least desirable but is acceptable if there is no other record that matches the order.

 

If *exact copy is found, mark "x, initials, date" in the OCLC Search box on the Order Request Card (Note: Please pay attention to correct placement of OCLC search results for order request card orders.), or anyplace on other types of order slips. If a **related record is found, mark "rel., initials, date". If no record is found, mark "0, initials, date".

*exact copy = author, title, imprint (including publisher and year), and ISBN number match exactly what is on the order.

**related copy = same author and title, but different edition, imprint or conference, or, the title may be slightly different.

 

When ordering multi-volumes or a specific volume of a set, we may need to use a set or serial record. Attached to this procedure are examples of these types of records.

 

Find the orders which have been submitted from booklets marked in red, search these records on OCLC and record information as above. If no record is found in WorldCat, please input the relevant order information on an order request card.

NOTE: It is not necessary to call up printouts for orders which have been submitted on an OCLC printout. If you encounter OCLC printouts in a packet of materials, simply skip them and move on to other types of order slips in the envelope.

When finished with envelopes or booklets:

1. Remove WorldCat printouts from the printer and stamp them with the searching stamp, fill out the boxes of "requestor", "fund", "location", and "price".

2. Keep both the orders and the WorldCat printouts in order. Place them in the envelop or insert them as a batch in the booklet.

3. Put the completed packet at the bottom of the stack labeled "Orders ready for searching."
