Turfgrass Information Center and Bear​d Collection serial holdings procedures

• Check in cards will be created only for titles on standing order, going to PRR, and then Main or Turfgrass as the permanent location, after a volume has been bound.
• Display of holdings will be unique for Turfgrass and Beard collections.

Titles in Turfgrass or Beard Collection:

• The holdings statement will start with the first unbound issue owned
• The holdings statement will include Inc. This will reflect not all issues are owned
• The location will display as an external note in the checkin record display stating: Unbound issues in TURFGRASS, 3W or BEARD COLL., 3W. This is in addition to the location field of the checkin record

Titles with bound volumes in Main, with unbound issues in PRR, Turfgrass, or Beard Collection:

• Only bound volumes will be stated in the holdings for Main and holdings statements will be closed.
• The main holdings record will display the location of the bound volumes: MSU MAIN LIBRARY
• The unbound issues note for Turfgrass or Beard will appear in the record
• There will be an item record for each bound volume
• An item record with the unbound issues note will be appear in the list of item records

Serial titles cataloged for Turfgrass, Beard Collection, or for Main, with unbound issues in PRR or the above locations, should follow these procedures for holdings information in checkin records.

Serial titles already in the catalog with these locations will have the records updated to this method of holdings information as new volumes are bound. Newly bound volume information from Binding Preparation will be shared with Laura Eichorn in the Copy Cataloging team, and the records will be converted. Eventually, a list of titles with these locations will be generated to convert all holdings information to this method.

If Turfgrass or Beard Collection receives an earlier issue of a title than what is noted in the holdings statement, staff there will contact Laura Eichorn to make the change in the holdings statement reflecting the receipt of the earlier issue.
