Apply this procedure to all approval processing workflows and to firm order cataloging of titles lacking the "use" designation on the p.o. slip or receiving ("MAGIC") streamer.
The purpose of this procedure is to ensure that the piece you're working with does not duplicate something received on standing order or something cataloged as part of an analyzed set or serial.
Step one: Look for a series field in the bib record (440 or 490/8XX fields)
| If the RECORD has | and the BOOK has | DO THIS |
|---|---|---|
| No series field(s) | no series title found on the book | continue to catalog the book (no further series checking needed) |
| book includes a series title | transfer the piece to the Copy Cat or PromptCat problems shelf | |
| 440, 830, or 490 field | series title matches the record | CONTINUE with step two of this procedure |
| no series title found on the book, or series on book does not match record | transfer the piece to the Copy Cat or PromptCat problems shelf | |
| 440, 490, or 830 field with no subfield v (|v) | no series title found on the book | transfer the piece to the Copy Cat or PromptCat problems shelf |
| series title matches the record | continue to catalog the book (no further series checking needed) | |
| 490 with indicator 1; no 8XX field present | either a matching series title or no series title present | transfer the piece to the Copy Cat or PromptCat problems shelf |
| 490 with indicator 1; 8XX field is an 800 or 810 | no series title found on the book | transfer the piece to the Copy Cat or PromptCat problems shelf |
| series title matches the record | continue to catalog the book (no further series checking needed) | |
| 490 with indicator 0 (zero) | either a matching series title or no series title present | transfer the piece to the Copy Cat or PromptCat problems shelf |
Step two: Search in online catalog by series title.
| If the search retrieves | DO THIS |
|---|---|
| Only the title you're working on | continue to catalog the book (no further series checking needed) |
| More than one hits for your title | CONTINUE with step three |
Step three: View the authority record for the series title. How can I tell which line is the authority record?
| If the authority record has | DO THIS |
|---|---|
| No authority record is present | transfer the piece to the Copy Cat or PromptCat problems shelf. |
| 090, 050 or 053 field and a 646 field with code c and |5 MiEM | transfer the piece to the Copy Cat or PromptCat problems shelf |
| No 090, 050, or 053 fields | CONTINUE with step four |
Step
four: Return to the search index screen and look at the other lines retrieved in your search.
4.1 Does the index screen display individual lines representing your title with numbering included?

If yes, continue to catalog the book (no further series checking needed).
4.2 Does the index screen display the authority record plus one other line for your title with multiple entries included on that line?

Expand the view (click on the Expand All button) and look at 3-4 of the individual records retrieved.
If the call numbers for those records are different, continue to catalog the book (no further series checking needed).
If the call numbers are identical except for end numbering, transfer the piece to the Copy Cat or PromptCat problems shelf .

4.3 Does the index screen show the authority record for your title plus a number of individual lines representing your title, and one of those lines lacks individual numbering (that record may appear anywhere within the range of titles)?
View the bib record lacking numbering.
Is the fixed field BIB LVL s ...

or blank?

If the BIB LVL is s or blank, transfer the piece to the Copy Cat or PromptCat problems shelf .
Is the BIB LVL m ?
If the BIB LVL is m, check to see if the 300 field in the record contains the designation " v. " instead of paging, and check to see if an 866 field is present.
If yes, the piece in hand could be an add vol. Consult with your supervisor.
If no, go back to the index screen and choose 2-3 records from the beginning of the list and view the bib records. Make a note of the call numbers on those records. Then choose 2-3 bibs from the end of the list and view the bib records, making a note of those call numbers.
| If what you see is.... | DO THIS |
|---|---|
| all of the call numbers are different | continue to catalog the book (no further series checking needed) |
| all the call numbers are the same except for end number (for example, LB2328.A1 N5 no.12, LB2328.A1 N5 no.13 and so on) | transfer the piece to the Copy Cat or PromptCat problems shelf |
| some of the call numbers are different and some are the same (minus the end numbering) | transfer the piece to the Copy Cat or PromptCat problems shelf |
| the item numbering stops well short of the item number in hand (for example, you have no.112 of the series and the index screen for the series title ends with no.65) | transfer the piece to the Copy Cat or PromptCat problems shelf |
