CD-ROMs with related copy (same as print book)

MSU Libraries policy is that any CD-ROM which contains the same content as a print monograph will be cataloged on its own record. Often the CD-ROM is packaged with the book, and it may be marked with a supplementary material flag by Acquisitions. However, if the CD-ROM contains the same text as the book, it is not really supplementary and needs to be cataloged on its own record.

Watch for discs which can only be used on 1 computer (e.g., many Humana Press discs) or which give temporary or trial access to a resource. Do not catalog these discs; instead, send them to the appropriate bibliographer, along with copies of any serial numbers or instructions from the book.

Cataloging instructions:

  1. Decide whether the CD-ROM contains the same content as the print. You may be able to tell from information in the book, or you may need to put the CD-ROM into your computer.
    • If it contains the text of the book, catalog it on its own record following steps 2-7 below.
    • If it only contains extra resources, treat it as supplementary.
    • If it contains the text plus other major resources, or if you are not sure, you may give it to the appropriate Cataloging and Metadata Services team member.
  2. If the CD-ROM requires its own record, search SkyRiver for exact copy. If found, use it. If no copy for the CD-ROM is found, you will derive a new record from the print.
     
  3. Catalog the print version. Include these steps:
    • Delete all references to the CD-ROM as supplementary.
    • Add a 530 note to the print record: Also issued on CD-ROM.
    • If there is a pocket for the CD-ROM attached to the book, remove or cut out the pocket if possible. Remove any supplementary material flag.
  4. From the print record, derive a new record for the CD-ROM.
     
  5. Add the following to the CD-ROM record:
    • Form (fixed field) = q
    • GMD (after the |a, or after the |n or |p if present): |h [electronic resource]
    • 006 for computer file. Type = m ; File = d
    • 007 for computer file. Usually: c |b o |d c |e g
      Check the |d : color = c ; black & white = b
      Check size of CD-ROM. If 4 3/4 in., |e = g. If 3 1/4 in., do not use the |e.
       
    • 500 title source note. Examples:
      Title from t.p. of pdf file.
      Title from opening screen.
      Title from disc label.
      ("Label" also includes the disc surface.)
      Title from container insert.
       
    • 530 additional format note. Examples:
      Also issued in print.
      PDF version of print book.
      Searchable pdf version of the print book (x, xxx p.). Issued with the book.
      HTML version of print book, plus photographs not included in the print.

       
    • 538 system requirements note: Use whatever is on container or insert or in a text file on the CD-ROM. Try to follow the order: machine; memory; operating system; software; other. Examples:
      System requirements: PC; 15MB RAM; 8MB hard disk space; Windows 2000 or higher; Adobe Reader; CD-ROM drive.
      System requirements: Acrobat Reader 5.0 or higher (included on disc); CD-ROM drive.

       
    • Change the 300 field to reflect the CD-ROM. For example:
      1 CD-ROM : |b col. ; |c 4 3/4 in.
      1 CD-ROM ; |c 3 1/4 in.

       
    • Add |z to the ISBN numbers of the print. For example:
      020 |z 978012345678X
       
    • Call number: Use the call number for the print, adding CD-ROM at end in bib record and on yellow stickie label. For example:
      HC253 |b .A47 2003 CD-ROM
       
    • Workstats example: dcorigcfxxx,#
  6. Finish editing the CD-ROM record as necessary, and update and export. If book goes to Main, Oversize, Reference, or Thesis, the CD-ROM goes to Digital/Media (dm ; QEMI). If book goes to a branch, the CD-ROM also goes to that branch. Stamp or write the location on the yellow stickie with the call number. If the destination is Gov. Docs and the piece has an LC call number, use the location DMC-GD on the yellow stickie. (Bib location and item record will say gd.)
     
  7. Put the book on the labeling truck. Put the CD-ROM in the non-print labeling cabinet in Catalog Maintenance.
