MISSING ITEMS
MISSING ITEMS:
IMESSAGE: Put the letter
"P" in the item record IMESSAGE.
Problem Note: Insert "E" (problem note) using one of, or a modified form of the following notes:
"Missing, return to Gov. Docs. for reclassing to LC. lme 3/9/01" (your initials & date at the end of the note).
"Missing, return to Gov. Docs. to complete transfer . Initial and date"
"Missing, return to Gov. Docs. to complete reclass International
Monograph call number to an LC call #. Initial and date"
Status Field: In the status field put
an "L". This gives the item record a public display of
Lost:Try ILL.
Missing Card: Fill out Missing
card and put in the Search box so this can be periodically searched.
Locations:
When reclassing the call number to an LC call number, put the old call number in the missing item record. The notes will explain that the piece could be at the old call number. For example, if you are reclassing an International Document, leave the location as gdg.
Titles transferring from Main to a gd location. If the volume is needed to fill in gaps for either multi volumes or serials go ahead and transfer the pieces. Change the item record location code to the appropriate Gov. Docs. location (gdus, gdidc, or gdmdc, gdcdo etc.) Make sure the item records is coded correctly. The Problem note "e" will explain that this is a missing transfer from Main that needs to be searched in Main and Gov Docs stacks.
6. Fill out a missing card. File the card in the Missing box
by collection: U.S., International, Michigan and Canadian. Write
International or Michigan on the top of the card so that LC call numbers
are split by collection. This helps keeps the cards in the right section
in the Missing box.
