Policy and Procedure Statement 3.1.16

Vacations

Librarians

Librarians who have full-time appointments are granted an annual vacation of 24 working days at full pay. Vacation allowances are granted prospectively on July 1 of each year.

Half-time, or other non full-time, librarians earn vacation time based upon one full day per month or a proportionate amount depending upon the employee's appointment status, according to the following proportion:

20 hours but less than 26 hours ... 50 percent

26 hours but less than 36 hours ... 75 percent

All vacation leave must be approved by the librarian's immediate supervisor in keeping with the program of work conducted in the unit. Each supervisor maintains vacation records for all librarians in the unit.

Vacation must be taken during the fiscal year. It is not cumulative and no vacation days may be carried over into the next fiscal year. In circumstances where it is of mutual benefit to the Library and the Librarian for vacation time to be used after July 1st, the Director, Department Head, Assistant Director may grant leave time equal to the unused June 30 vacation balance, not to exceed 10 days. This time must be used before October 1, and will not be paid if the librarian terminates, or is unable to use this time before October 1st. Permission to utilize unused vacation in this manner must first be approved by the immediate supervisor and then by the appropriate assistant or associate director. For record keeping purposes, the Main Office will assume that ALL unused vacation balances (up to 10 days) WILL be used in this manner unless written verification DENYING this use is received.

Vacation leave is proportionately reduced in the event of resignation or termination during the fiscal year. At the time of separation from the University, the librarian's appointment will be extended for any unused portion of the vacation leave earned. Such an extension, however, will not be granted beyond the fiscal year.

If a holiday falls during the librarian's vacation leave, the holiday is not counted as part of the leave, except when the employee has terminated and requests credit for accrued vacation time.

Compensatory time is granted to those employees who are scheduled to work during University holidays or on weekends when the total scheduled hours exceed 40 in any one week. Compensatory time should be part of the scheduling process and be taken during the week it is earned. If the work program of the unit prevents this, the time may be taken at a later date, but in no case later than 10 weeks, as approved by the supervisor. Compensatory time should not exceed 24 hours at any one time.

Non-Academic Staff

All full-time administrative professional, clerical-technical, supervisory, and labor staff members are entitled to paid vacation leave according to the provisions of their respective contract agreements.
