Policy and Procedure Statement 3.1.10
Retirement- Library Guidelines for Honoring Retirees
November 2007
GUIDELINES FOR
ACTIVITIES RELATING TO RETIREMENTS AND TERMINATIONS:
University policy
governing such activities, as spelled out in the MSU Manual of Business Procedures, Section
45, should be followed in planning activities to honor retiring or terminating
employees. Within those guidelines, and with consideration of the wishes of the
individual, the following general practice applies for the Libraries:
Persons retiring/terminating
with LESS than 15 years of service:
Members of the
division or unit may plan a lunch, dinner, party, or other activity, inviting
those they think appropriate. These events cannot be supported as official
Library functions; cost is borne by participants.
Contributed funds may
be used for the purchase of appropriate commemorative gift/s. (It is unwritten
University policy that University funds may not be used for such purchases.)
The Director of Libraries will send a letter of recognition and acknowledgment.
The Library Staff
Association will recognize the individual at the appropriate tea and will
contribute a book to the Libraries in recognition of his/her service.
Persons
retiring/terminating with 15 years or more of service:
The division is
responsible for organizing a reception, with Libraries' staff, retirees, and
other appropriate individuals invited. Such events can be supported as official
Library functions; the Libraries will contribute up to $450 to support the
event. For retirees who choose to go to dinner or lunch with a few co-workers,
the Libraries will support up to $15 per person plus gratuity, with a limit of
20 guests.
Please note:
University funds
shall not be used to purchase alcoholic beverages.
Functions expected
to exceed the allowed limit of the per person charge
may be paid for by participants or other individuals from non-University funds.
It is unwritten
University policy that University funds may not be used for purchase of gifts.
The Library Staff Association will
recognize the individual at the appropriate tea and will contribute a book to
the Libraries in recognition of his/her service.
